Checklist on a desk — the 10-point Upwork proposal quality check freelancers use before sending

The average Upwork proposal gets read for 6 seconds. The client sees your first two sentences in the preview — and if those sentences are about you instead of their problem, they scroll past. Every time.

This checklist is the same 10-point review we built into BidPropel's 26-layer forensic engine. You can run it manually on any proposal before you send — or let the AI do it for you.

The 10-Point Proposal Checklist

1. Preview Optimization ✓/✗

Upwork shows ~200 characters as a preview. Does your first sentence reference the client's specific problem or project? If it starts with “Hi, I'm [name]” or “I'm very interested” —fail. Fix: Open with their pain point.

2. Client Pain-Point Reference ✓/✗

Does your proposal name something specific from their job post? Not “I have experience with React” — but “Your need for SOC 2 compliant architecture tells me you're building for enterprise customers.”

3. Scam Signal Scan ✓/✗

Check before you apply: off-platform contact? Free test task? Equity-only payment? Impossible scope for the budget? Identity harvesting? Any one of these = don't apply. Save your connects.

4. Budget Reality Check ✓/✗

Does the budget match the scope? A $500 budget for a “full-stack SaaS with Stripe, Redis, Docker, SOC 2” is a red flag. Either the client doesn't know what they need (scope creep incoming) or they're fishing for the lowest bidder.

5. Tone Calibration ✓/✗

Read the client's job post tone. Formal? Match it. Casual? Match it. Burned before (mentions previous freelancers who disappeared)? Acknowledge their past experience and signal reliability.

6. “You vs. Them” Word Ratio ✓/✗

Count “I” and “we” vs. “you” and “your.” If “I” appears more than “you,” rewrite. Clients care about their problem, not your biography.

7. Specific Detail Count ✓/✗

Count the number of references to their actual job post. Zero? You wrote a template. Two or fewer? Still feels templated. Aim for 4+ specific references — their tech stack, their timeline, their pain point, their industry.

8. CTA Clarity ✓/✗

Does your proposal end with a clear next step? Not “Let me know if you have questions” — that puts the work on them. Try: “I can start with a discovery call this week — does Tuesday or Thursday work?”

9. Proof Trigger Check ✓/✗

Did the client ask for something specific — portfolio examples, case studies, code samples, a short test? Did you include it? Clients who ask for proof are screening. Miss it and you're filtered out instantly.

10. Anti-Generic Phrase Scan ✓/✗

Search your proposal for: “I'm excited about this opportunity,” “I believe I'm a great fit,” “I have extensive experience,” “I'm very interested.” Found any? Delete them. Every freelancer writes these. Clients stop reading when they see them.
